October 1999 Newsletter

To: TVA Club Presidents and Board of Directors
From: Chuck Samus
Date: October  , 1999
Subject: TVA Newsletter

GREETINGS:
The fall walking season is here and I am sure many of you are out enjoying the fruits of all the great planning that went into each event. If you are on the net, you may see some comments and reviews of these events. From the mail I receive, many of you are busy planning your 2000 events. So far, we have 67 events sanctioned for 2000. We ended 1999 with 134 sanctioned events. I hope we can reach 150 events in 2000. If we do reach 150 events, we want to be sure they are quality events that will make walkers want to come to your next club event.

Texas has another new club. We welcome Knights March from Converse and look forward to attending their events. Ed Headley of Cibolo is the Club President. That makes two new clubs this year. Weslaco, the other new club will be holding their first event December 4, and they have sanctioned a YRE for 2000. Please help these new clubs with your attendance at their events.

TVA NEWS:
Mark your calendars for February 5, 2000. The semiannual meeting of the TEXAS Volkssport association will be held in Kerrville. A proposed agenda will be enclosed with the next newsletter. Attached are the minutes from our last TVA meeting for your review.

I received notification from Charles Wortz that effective October 16, Charles has resigned his position as TVA Secretary. We appreciate the work Charles did during the period he served. The TVA Bylaws state that an officer vacancy will be filled by a person elected by the remaining board members. If you are interested in the office of TVA Secretary, please let me know by November 15. I want to fill the vacancy as soon as possible.

Don’t forget the upcoming Memorial and New Years events. I am enclosing the flyer for these events. Robert Theis is sending out packets of the brochures to clubs having events between now and Dec 31. If you have not received a packet for your event or need more brochures, you can contact Robert at 830-896-3550 or make copies from the ones enclosed. Remember, these are World Walking Day Events and participants will receive the special IVV stamp and a participation certificate for doing the events. Robert is looking for VOLUNTEERS to work the events. If you are able to work contact him by phone or snail mail, 446 Vicksburg, Kerrville, TX 78028-2773. There will be a workers walk for the events at 8 AM on December 31. Only those working the event can participate in the workers walks. Workers books will be stamped at the completion of the shift they work.

Eveline Evans asked me to remind you to send her information on any club members that have passed on to the greatest walk of all this year so she can prepare the memorial board. Send the information to Eveline at 1420 Ritchie Rd, Lorena, TX 76655 or phone 817-666-4424, or email eee93@aol.com

Plans are in progress for the TVA Reunion events March 4-5 at Lake Whitney State Park. Robert is in the process of checking trails and preparing the brochure. Mark your calendars. This in the time for all TVA clubs to get together for some fun and fellowship to celebrate the hard work you do during the year. More information will be available soon.

World Walking Day EVENTS: As you make your holiday plans for the Y2K celebrations, be sure to allow time to attend one of the World Walking Day Events in Texas. The events in Fredericksburg start the celebration. Then the Dallas Trekkers have an event in Grapevine on January 1. On January 2, there are events in Wichita Falls, Georgetown and Houston hosted by the Buffalo Chip Kickers, Colorado River Walkers , and Houston Happy Hikers respectively. Information on these events will be available from the clubs or also on the TVA web page.

CLUB OPERATIONS TOPIC: This month, I want to discuss 3 items. The first is Club officer update forms. It is important to your club, the TVA and the AVA that we have the names and addresses of your club officers. Correct addresses are a must if your club is going to receive information from the TVA and AVA. Any time you have a change in club officers, please file form 201U (February 1998) Club Officer Update. Please be sure to include an address and not just a P. O. box. This form should be mailed to the TVA President. He will forward it on as required.

The second is the AVA/ IRS group tax exemption. If your club is part of the AVA IRS 501 (c) (3) group exemption, you must submit AVA form 102C3F, Annual Financial Report to the AVA no later than November 15. You should have received notification from the National Office if you need to complete this form. If you think you are in the group exemption and did not receive the forms from AVA, please contact them.

The final form is the New Balance Request for Local Event Sponsorship. This is the form to use when you request free shoe certificates, etc. from New Balance. This form should be submitted as early as possible to allow them time to process the material before your event. There is also a form to request additional Event Kit Material. I am enclosing copies of both forms with this newsletter. Remember to give them as much time as possible to process you application and mail the materials.

TVA EVENT CALENDAR: Enclosed is the current TVA event calendar for your use in planning future events. It is always best to avoid scheduling conflicts. Please review the calendar and let me know of any needed corrections.

Keep up the good work you do to provide quality events to those who choose to walk in TEXAS.

L. Ward - Southwest Regional Director
