GREETINGS to all: Now that the nice weather has arrived it is time for all
to get out and support the upcoming walks. There are several new locations
scheduled for events. I hope that you will encourage your club members to
attend some, if not all, of these.
YRE sanctioning for 2005: Latest word for AVA is that clubs will be able
to submit their sanction requests electronically starting July 1. The same
general procedures will apply for inputting the data as currently exists for
regular event sanctioning. Additional details/procedures will be announced
as they are developed. Continue to check your AVA Checkpoint newsletter for
further developments. I will establish suspense dates for submission once it
is firm that electronic sanctioning is working and approved.
Committees: The following two committees were established at the February
2004 TVA General Membership Meeting.
a. Nominating Committee: Elaine Ward, Bruce Fitch, and Raz Creamer. The
position of TVA President, TVA 2nd Vice President, and TVA Secretary will
need to be filled at the August 2004 meeting. Please contact any of the
above named individuals if you or a member of your club is interested in
filling any of the offices. The report from the nominating committee is due
to the TVA President by June 1 so do not delay in getting names submitted.
b. Audit Committee: Beverly Kittinger, Lyn Ward, and Suzanne Markgraf. The
TVA books need to be audited at the August 2004 meeting and the results
entered into record.
New Balance (NB) sponsorship: According to information that has been
received from the AVA Executive Director the New Balance logo MUST appear on
the event flyers/brochures. Even though you have not submitted a formal
request for NB support (handouts/shoes), if you are using NB start cards,
directional arrows, marking tape, etc., NB is still considered as a sponsor
and should be so recognized on the event flyer. This should also apply to
any other advertising that you do for a scheduled event.
TVA Event Information Form: I continue having a problem with clubs not
submitting the TVA Event Information form in a timely manner. This should be
set up as one of the steps in having your event approved. Also, remember
when you do sent in the TVA Event Information form to include the
sanctioning fee. I dont want to delay approving your event pending receipt
of the TVA paperwork; however, if I continue having a problem it may come to
that.
Insurance Waiver: Reminder it is a requirement of the AVA that ALL
walkers must sign and date the waiver. This applies regardless of status,
i.e., A award, credit only, non-IVV participant, or free. If using the NB
start card remove and retain the white (top) copy for your records. If using
any other type of start card please ensure that sometime during the
registration process that you obtain a signature and date of the insurance
waiver. These must be retained by the club for a total of seven years after
date of event.
