Greetings to all: The Texas
Volkssport Association will hold their semi-annual meeting on Saturday 7
August 2004 at the Grace United Methodist Church in Copperas Cove. The
Board of Directors will meet at 9 AM and the General Membership Meeting
will be held at 1 PM. Everyone is invited to attend the meetings. On
Sunday 8 August the Trotting Texas Turtles will be sponsoring a Volksmarch
at Dana Peak Park, Stillhouse Hollow Reservoir with start time from 7:30
AM to 10 AM. See attached flyer for directions to both of these events.
Reminder: Club Presidents are the recognized representatives of their
club. Individuals (member of club) that are attending the General
Membership Meeting as the club representative must submit written
notification signed by the Club President or Club Secretary designating
that individual as the official representative.
YRE sanctioning for 2005: The electronic
sanctioning templates are now on line and working. Please review the
instructions previously sent to the clubs outlining the procedures and
deadlines for submission. All TX YRE sanction requests need to be submitted
and on-line by August 1. Hard copies of all other paperwork associated with
the YRE must be snail mailed to me also by August 1. The electronic
sanctioning will be taken off-line on August 31. Please remember – what you
submit needs to be accurate as this will be the information that will be
printed in Start Point. Proofs will not be mailed to the clubs for a final
review prior to sending Start Point to the printers. Any questions/concerns
about the 2005 YRE sanctioning please contact me for assistance.
Nominating Committee: The
nominating committee has submitted their report to me and the following
individuals have agreed to have their names submitted as candidates for
election: President – Karl Kittinger, 2nd Vice President – Ellen
Ott. The nominating committee has been unsuccessful in finding an
individual to assume the duties of TVA Secretary. Nominations for this
position will have to come from the floor during the General Membership
Meeting. Please check with your club members to see if you can find someone
to fill the position of TVA Secretary. The duties and responsibilities are
outlined in the TVA By-Laws paragraph 5.2.4.
AVA Reports: Club Presidents
should have received within the last week a letter from the AVA Executive
Director outlining the two annual reports that must be submitted in order
for the AVA and member clubs to retain their IRS Code 501[c][3] group
exemption. These two reports are a necessity and must be submitted in a
timely manner. If your club is under the AVA umbrella for group exemption
please make sure these reports are submitted. Those clubs that are not
under the AVA umbrella do not need to submit the Annual Financial Report;
however, you should submit the Annual Officer Update yearly and upon change
in officers. Remember, the Annual Officer Update must be submitted through
me, to the Regional Director, and then to the AVA Headquarters so please
allow sufficient time to ensure meeting the January 1 deadline. The Officer
Update Form has been revised so make sure you submit on the June 2004
version. The 2004 version is not yet available on the AVA web-site so I
would recommend you make a copy of the blank form for future use prior to
filling out and forwarding. I will reproduce copies and have available for
the clubs at the August semi-annual meeting.
I will be out of the state during the period 15 August
– 20 August visiting with family and friends in PA. I will attempt to check
my e-mail during this time. I will start responding to e-mails and phone
messages on 21 August.
