GREETINGS: Summer is finally gone and we are starting off with a rainy fall. I
am sure this rain is welcome to many of you. I hope you will find an umbrella or rain suit
and not let the rain stop your support of scheduled events. We ended the 2000 walking
season with 123 sanctioned events. Last year we had 134 events. So far this year, I have
received 37 event sanctions for 2001 compared to 67 at the same time last year. I hope
this is not an indication of a decline in events in Texas. I optimistically hoped for 150
events in 2000, but we fell short of that. Can we make 150 events in 2001? Only your hard
work will tell the rest of the story.
TVA NEWS: The annual TVA Memorial and New Years events are on schedule for Dec
31 and Jan. 1. I am enclosing the flyer for these events. Robert Theis is sending out
packets of the brochures to clubs having events between now and Dec 31. If you have not
received a packet for your event or need more brochures, you can contact Robert at
830-896-3550 or make copies from the one enclosed. Robert is looking for VOLUNTEERS to
work the events. If you are able to work, contact him by phone or snail mail, 446
Vicksburg, Kerrville, TX 78028-2773. There will be a workers walk for the events at 8 AM
on December 31. Only those working the event can participate in the workers walks. Workers
books will be stamped at the completion of the shift they work.
Anna Cottrill asked me to remind you to send her information on any club members that
have passed on to the greatest walk of all this year so she can prepare the memorial
board. Send the information to Anna at 7429 Mesa Verde, Ft. Worth, TX 76137, or
aecottrill@prodigy.net. She may be reached by phone at 817-788-0307.
Becky has mailed out the TVA survey on the health of the member clubs. You will be
receiving the survey shortly. Please add any additional information about your club that
you feel may be helpful in developing our action plan. Please be as candid as possible in
answering the survey and return it promptly to the Secretary, Becky Lindig.
The 2001 petals for the 10/20 in Texas program will be available at the Memorial walk.
If you need previous year petals or additional patches, contact Anna Cottrill at the
address listed above.
On September 10, 2000 the TVA books were audited and found to be in order. No
discrepancies were found and the records are being maintained in an excellent manner. The
2001 fiscal year budget will be presented and approved at the February meeting.
TVA FEBRUARY MEETING: The Selma club ran into some difficulties securing a
meeting place that the TVA could afford at the Canyon of the Eagles (Its Eagle
season) and has withdrawn their offer to host the February Meeting. This Newsletter will
serve as the official notice of the change in meeting location. The TVA Board
discussed the situation by phone and contacted several clubs for possible meeting
locations. We were finally able to secure a meeting location in Fredericksburg. The
meeting will be at the Fredericksburg Inn and Suites, 201 S. Washington, Fredericksburg,
TX 78624. We have blocked a group of 10 rooms at the rate of $69 plus tax. This includes a
deluxe Continental Breakfast. The phone number is 1-800-446-0202 and when calling identify
yourself with the Texas Volkssport Association to reserve a room. The Board meeting will
start at 9:00 AM and the General meeting will start at 1:00 PM. A proposed agenda is
enclosed with this letter. Please submit any additional items for the agenda to my by
January 2. There will not be a scheduled walk Sunday, February 4. The Fredericksburg club
has 4 YREs, and one of them is new for 2001. We hope you will support the
Fredericksburg Club and walk one of these events on Sunday.
CLUB OPERATIONS TOPIC: If your club is part of the AVA blanket IRS 501(c)(3)
group exemption, you must file an AVA form 102CF by November 15. A form was enclosed with
the AVA Checkpoint recently mailed to your club. You may also get a form by
contacting me or the AVA Headquarters. You should have returned your YRE Starting Point
Sheets with corrections to the AVA office by now. No response was necessary if there were
no corrections.
Please review your TVA manual for proper procedures in submitting forms. I continue to
get both AVA and TVA event after action forms mailed to me. The AVA form should go
directly to the AVA with appropriate payment. The TVA form should be mailed directly to
Treasurer Suzanne Markgraff at the address listed on the form. Late fees could be accessed
if the forms are not at the AVA 30 days after the event.
Any club officer change must be promptly reported to the TVA. Many of you mail or fax
AVA form 201U, Officer Update directly to the AVA. This means the TVA and your Regional
Director do not know about the change. Please mail this form directly to the TVA. I will
make the appropriate distribution.
TVA EVENT CALENDAR: Enclosed is the current TVA event calendar for your
use in planning future events. It is always best to avoid scheduling conflicts. Please
review the calendar and let me know of any needed corrections.
Quality events dont just happen. Your hard work makes them happen!
